Cancellation & Return/Refund Policy - Moon Light Tours India

At Moon Light Tours India, we understand that sometimes plans change. We strive to be as flexible as possible while also ensuring the smooth operation of our tours and services. Please read our cancellation and refund policy carefully.

1. General Policy & Definitions

  • Booking Confirmation: Your booking is confirmed once Moon Light Tours India has received full or partial payment (as per the specific tour's terms) and issued a confirmation voucher or email.
  • Cancellation Request: All cancellation requests must be submitted in writing via email to reservation@mlt-india.com. The cancellation date will be the date we receive your written request.
  • Tour Price: Refers to the total cost of the tour package, including any services booked through Moon Light Tours India.
  • Non-Refundable Deposits: Some tours, especially those involving flights, special permits, or specific accommodation types, may require non-refundable deposits. These will be clearly stated at the time of booking.

2. Cancellation by the Client

The following cancellation charges will apply based on the number of days prior to the tour departure date that we receive your written cancellation request:

  • 60 days or more prior to departure: 10% of the total tour price (administrative fee)
  • 45 - 59 days prior to departure: 25% of the total tour price
  • 30 - 44 days prior to departure: 50% of the total tour price
  • 15 - 29 days prior to departure: 75% of the total tour price
  • Less than 15 days prior to departure or "No Show": 100% of the total tour price (No Refund)

Special Considerations for Specific Services:

  • Flight Tickets: Airline tickets are subject to the cancellation policies of the respective airlines. In most cases, domestic flight tickets are non-refundable or incur significant cancellation fees once issued. International flight tickets often have even stricter rules.
  • Train Tickets: Indian Railways tickets are subject to their cancellation rules, which vary by class and type of ticket. Significant deductions apply for cancellations closer to the travel date.
  • Hotel Bookings: Individual hotel bookings made outside of a package tour may have different cancellation policies, which will be communicated at the time of booking.
  • Permits & Special Entries: Entry permits for national parks, restricted areas, special events, or monument entries are often non-refundable once secured.
  • Customized/Tailor-Made Tours: Due to the bespoke nature of these tours, specific cancellation terms may apply and will be outlined in your personalized itinerary and booking confirmation.

3. Refunds

  • Processing Time: Approved refunds will be processed within 15-30 working days from the date of cancellation confirmation by Moon Light Tours India.
  • Refund Method: Refunds will be issued via the same method of payment used for the original booking (e.g., bank transfer, credit card reversal), wherever possible. Any bank charges or currency conversion fees incurred during the refund process will be borne by the client.
  • No Partial Refunds: No refunds will be given for unused services, early departures, or missed inclusions once the tour has commenced.

4. Amendments by the Client

  • Minor Changes: Requests for minor amendments to a confirmed booking (e.g., change of hotel room type, slight date adjustment) will be accommodated where possible and may incur an administrative fee of INR 1,500 - INR 3,000 per change, plus any additional costs charged by suppliers.
  • Major Changes: A change in the tour date, destination, or a significant alteration to the itinerary within 30 days of departure will generally be treated as a cancellation of the original booking and re-booking of a new tour, subject to the cancellation charges outlined in Section 2.

5. Cancellation or Amendment by Moon Light Tours India

While highly unlikely, Moon Light Tours India reserves the right to cancel or amend a tour in unforeseen circumstances beyond our control, such as:

  • Force Majeure: Natural disasters (floods, earthquakes), political unrest, strikes, epidemics, government advisories, or other unavoidable events.
  • Minimum Participant Requirements: Some group tours may require a minimum number of participants to operate. If this number is not met, we reserve the right to cancel the tour.

In such cases:

  • We will offer alternative tour dates or a comparable tour package.
  • If an alternative is not suitable, a full refund of the amount paid to Moon Light Tours India will be issued. We are not responsible for any incidental expenses you may have incurred as a result of your booking, such as non-refundable flights or visas.

6. Travel Insurance

Moon Light Tours India strongly recommends that all clients purchase comprehensive travel insurance at the time of booking. This insurance should cover unforeseen circumstances such as:

  • Trip cancellation or interruption
  • Medical emergencies
  • Baggage loss
  • Travel delays
